Axero's Broadcast tool allows administrators to broadcast messages to the community via email and notifications. Whether you are communicating during an emergency or sharing company news, broadcasts gets the word out fast.
To create a broadcast that meets your goals, work with your fellow community admins and intranet stakeholders to understand the type of information that needs to be sent out via broadcast. Consider communication needs, geographic regions, work environment i.e. in-office, at home, or hybrid, frequently used features and patterns within user intranet use to inform your communications strategy.
When you are ready to begin using Axero's broadcast feature, turn on the feature from Application Settings via your Control Panel.
In addition, since this product is in the early stages post-release (aka beta), set the broadcast dynamic property to true.
Then, navigate to the Control panel - Content - Broadcast
Or click + icon and select Broadcast
The next screen will show a form to fill
Next click the Recipients tab on the top of the page
Under Select recipients, you will see three options - Personas, People, and Spaces
Admins have the ability to select the group of people under various filter conditions to receive the broadcast.
Personas provide a great way to filter and group your users given a number of parameters. Check out our Personas documentation to learn more.
Filter Personas
In the screenshot below, the highlighted section shows a list of Personas that have been created.
To broadcast a message to any of the created Personas filters, mouse over the title and click the + icon next to the title as shown. (One or more filters can be added to the Send to list, to broadcast a message.)
In the right pane of the above screenshot under Send to section, a list of recipients will be added and a Total recipients count will be shown to whom the broadcast message will be sent.
Filter People
The People tab allows Admins to search for a specific list of people within your intranet community.
To search for people, start typing a name in the search field and mouse over the title. Click the + icon to add the user(s) in Send to list as shown
Filter Spaces
On the Spaces tab, Admins can filter or select spaces for which the broadcast message needs to be sent. All users in the selected space will receive a broadcast notification.
Click on Send or schedule tab when you are ready with the list of recipients to send the message.
You will see two options on this tab.
Send now
Select Send now to send the broadcast message immediately.
Schedule for later
Select to schedule for a later date and click on Publication date tab.
A calendar view will pop up. Choose the publication date and time.
Click Schedule for later
You will see a saved Broadcast message on the following screen. A The following content will be published on message will be displayed in blue.
To view the scheduled broadcast go to Control panel - Content - Broadcast.
Broadcasts can be filtered with a number of options available out of the box. The following options are available
Filter by space
Broadcasts can be filtered by Top level community or space. Click the down arrow to view options.
Select parent category
Broadcasts can be filtered by parent category. Click the down arrow to view options.
Select sub-category
The options will be available if subcategories are created for broadcasts.
Filter by status
Broadcasts can be filtered by status. Click the down arrow to view options.
Admins can save the created broadcast for future edits. Click Save as Draft
You will be redirected to the Broadcast details page. A message will be displayed This entity is not published yet, it is at the draft stage.
To view a list of draft broadcasts go to Control panel - Content - Broadcast
On the list page, the Draft broadcast will be shown. You can also Filter by status and select Draft to view items in draft.
To edit broadcasts in Draft or Scheduled for later status click the three dots next to the heading.
On the next screen make the changes and follow the steps under Creating a broadcast, Broadcast section.
To delete broadcast go to Control panel - Content - Broadcast
To delete multiple Broadcasts together check the checkbox as shown and click Delete
To delete individual Broadcast click the burger icon next to the heading and click Delete
A warning message will be shown
Click Yes to delete.
A user can view the broadcast messages that have been sent to them.
To view broadcasts click on your Profile image > Broadcasts
A list of broadcasts will be displayed.
You can also show a list of broadcasts on a page builder page using the Broadcast Pagebuilder Widget:
Users will receive email notifications within the community along with email notifications when a broadcast is received.
