Actions provide the ability to perform various actions such as:
To include actions turn on the tab
You will now be able to add Actions to personas.
Click on Add Action to add actions.
From the dropdown menu choose action.
You will see options like
1. Add to a space
2. Assign site role
Actions Available
+ Add to One Space
Selecting this action indicates that the Matched People from the conditions set in Profile field will be added to the space you select. If a person later no longer matches a Persona, the person will be removed from the Space.
From the Actions dropdown select Add to a space
Next select the space from the dropdown menu where you would like to add Matched People into
(OPTIONAL) You can also choose to assign a SPACE ROLE to the user. The Member role is default.
Turn on Run Actions On Save
Once Run Actions On Save is turned on click Save, you will see Changes saved successfully message.
NOTE: Users have the option to keep Run Actions On Save turned off. If the option is turned off Matched People will not be added or removed to a space. In real world scenarios Site Administrators may want to modify the template before adding or removing users to a space.
The Matched People will now be added to the space you have selected. In our example we are adding people in Human Resources space
The list of added people can be seen at the People section in the space.
Personas template can also be used to add Matched People in multiple spaces together.
Click on Add Action
From the dropdown menu choose Add to a space and select the space. Click Save
Matched People will now be added in Employee Onboarding space along with Company Announcement space.
NOTE:
Selecting this action indicates that the Matched People from the conditions set in Profile field will be added assigned to a Site Role.
If a person was, or later is, manually added to a role, and that person is not part of the assigned Persona, that person will be removed from that Site Role when the Persona runs next. Note: If your Communifire version is 8.0.8532.27993 or higher, persona actions will no longer override manually assigned roles.
From the Actions dropdown select Assign Site Role.
Click the box with Optional additional roles, and select the roles the Persona should be assigned
Each time this Persona runs, any Roles selected will be updated to match this Persona settings. This means Users added manually, or previously added through another Persona, will be removed if the user is not part of the Matched People list for this Persona.
RECOMMENDATION: (applicable only for users on Communifire versions earlier than 8.0.8532.27993)
If you have a Site Role that is already configured for Users, we recommend creating a New Role called [Role] (Persona Assigned) and configuring the new role to match the settings of your existing role. This will allow you to keep users manually assigned to an existing role, and also assign users through Personas.
