Google Calendar Sync Administrator Setup | Axero Documentation

Axero supports a bidirectional sync between My Calendar and Google Calendar. When you set up Google Calendar sync on your intranet, people can connect their Google account to My Calendar. Google Calendar sync has the following features:

• Your Google events and events you are invited to appear in My Calendar 
• Your personal Axero events and events you are invited to appear in your Google calendar
• Event changes and RSVP updates made in either calendar will be reflected in the other calendar

Step 1: Configure the Google App

1. Visit the Google Cloud Console.
2. Create a new project for your intranet if necessary:
   1. Click the project dropdown menu in the header.
   2. In the modal that opens, click New Project.
   3. Enter a name for the project.
   4. Click Create.
3. Select your new project from the project dropdown menu.
4. Click APIs & Services and select Enable APIs and Services.
5. Search for and enable the following APIs:
   • Google Calendar API
   • Google People API
   • Google Drive API, which Axero uses for event attachments
6. Click the hamburger menu icon in the upper left corner to open the side menu.
7. Click APIs & Services > OAuth consent screen.
8. Click the Get Started button.
9. Enter a name for the app. The name will appear on the consent screen when users connect their accounts.
10. Enter a support email address for users with questions about their consent.
11. Click Next.
12. Select the user type for your Axero platform.
    
    • If you want only people in your Workspace to connect:
      1. Select Internal.
      2. Tell users they must sign in with an account that belongs to your Workspace domain (for example, @yourcompany.com).
      3. If those users still can’t authorize, check that their account is within the primary or secondary domains listed for the Workspace.
         
    • If you want external Gmail/other-domain users to connect: 
      1. Select External
      2. Click Publish App.
      3. Google will ask you to submit for verification because you request sensitive scopes like Calendar and Contacts. Getting external apps approved by Google can be difficult. Contact your Client Success Manager if you would like Axero to host and publish the external application on your behalf, which may incur an additional cost. 
13. Click Next.
14. Enter your email address.
15. Click Next.
16. Read the Google API Services: User Data Policy and check if you agree.
17. Click Continue.
18. Click Create.
19. In the left navigation menu, click Clients.
20. Click + Create client.
21. Under Application type, select Web application.
22. Click + Add URI.
23. Under Authorized redirect URIs, enter your site URL followed by /oauth2/googlecalendar/callback (e.g., https://mycommunity.com/oauth2/googlecalendar/callback).
24. Click Create.
25. A modal will open. Copy the Client ID and Client Secret and save them for later.
26. In the left menu, click Data Access.
27. Click Add or remove scopes.
28. In the modal that opens, use the search bar to select all five of these:
    • .../auth/calendar
    • .../auth/calendar.events
    • .../auth/contacts.readonly
    • .../auth/drive.file, which Axero uses to upload event attachments
    • .../auth/drive.readonly, which Axero uses to read and download attachment details

    Note: Axero asks for all five every time someone connects their account, so leaving one out will stop the connection from working. It also asks for the standard userinfo.email and userinfo.profile scopes, which Google usually lists as email and profile and adds for you.

    Note: If a scope doesn't appear in the list, add it by hand using its full URL, for example https://www.googleapis.com/auth/drive.file.

29. Click Update, then click Save.

Step 2: Configure Axero

1. In Axero, go to Control Panel > System > System Properties.
2. Search for GoogleApiClient.
3. Edit GoogleApiClientID.
4. Paste the Client ID, then click Save.
5. Edit GoogleApiClientSecret.
6. Paste the Client Secret, then click Save.
7. Click System > General Settings.
8. Expand the Advanced Settings section.
9. Next to Enable calendar sync from 3rd party systems, check Yes.
10. Click Save System Settings.
