Google Drive Integration Administrator Setup | Axero Documentation

Axero supports two-way synchronization between Files and Google Drive, with the following features:

• Automatic synchronization of your Google Drive files in Files (checked every 30 minutes by default; an administrator can change the interval with the ExternalGoogleDrivesCheckIntervalInMinutes system property).
• Direct file uploads to Google Drive from within Axero.
• Downloading Google Drive files from within Axero.
• Native creation of Google Docs, Sheets, and Slides directly in Axero.

Step 1: Configure the Google Cloud Project

1. Access the Google Cloud Console.
2. Create a new project for your intranet (if needed):
   1. Click the project dropdown menu in the top navigation bar.
   2. Select New Project from the modal window.
   3. Provide a descriptive project name.
   4. Click Create.
3. On the APIs & Services page, click Enable APIs and Services.
4. Search for and enable the following APIs:
   • Google Drive API
   • Google Docs API
   • Google Sheets API
   • Google Slides API
5. On your project homepage, go to APIs & Services.
6. In the left menu, click OAuth consent screen.
7. Click Get started to begin setting up your project.
8. Under App Information, enter your App name and select a User support email. Click Next.
9. Under Audience, select a user type to set which users can use your app. Click Next.
   
   Note: If you select External, you must submit your app to Google for verification. Your app will display a security warning page until your app is verified. Refer to this page.
10. Under Contact Information, enter your email address. Click Next.
11. To complete the setup, agree to the policy under the Finish step and click Create.
12. In the left menu, click Branding.
13. Upload an App logo. (Optional)
14. In Application Homepage link, enter your site URL.
15. In Authorized domains, add your site's domain. Do not enter the full site URL. For example, the domain for https://intranet.yourcompany.com is yourcompany.com.
16. Click Save.
17. In the left menu, click Clients.
18. Click Create Client.
19. For Application type, select Web application.
20. Enter a Name for the client.
21. Under Authorized redirect URIs, click Add URI.
22. In Authorized redirect URIs, enter your site URL followed by /oauth2/google/integrations/callback (e.g., https://mycommunity.com/oauth2/google/integrations/callback).
23. Click Create.
24. A modal will open with the client ID and client secret. Copy the client ID and client secret and save them for later, or download the JSON file.
25. In the left menu, click Data Access.
26. Click Add or remove scopes.
27. In the modal that opens, use the search bar to find drive.
28. Check the following scopes: ../auth/drive and ../auth/drive.metadata
29. Click Update, then click Save.

Step 2: Add the Google App in Axero

1. In Axero, go to Control Panel > System > Integrations.
2. Next to Google, click Connect.
3. Enter a display name. This name will appear in My Integrations when a user has connected their account.
4. Paste the client ID and client secret.
5. Set where users can connect to Google Drive from:
   • Available in the top level community: Users can connect to Google Drive in Browse > Files. (Note: If enabled, files must be set to On in Control Panel > System > Application Settings.)
   • Available in spaces: Space admins can add Google Drive in any space. Users can connect to Google Drive in the space Files section.
   • Available in Personal Connect: Users can connect to Google Drive in My Files.
6. Click Save Settings.

Step 3: Add Google Drive to the Files Section

Option 1: Add Google Drive in a specific space or the top level community

1. Navigate to one area depending on where you want users to connect to Google Drive:
   • To add Google Drive to the Files section of a specific space, go to Manage Space > External Drives.
   • To add Google Drive to Browse > Files, go to Control Panel > System > External Drives.
2. Click Add External Drives.
3. Click MyDrive.
4. Enter a Display name. The display name will appear when users open the Google Drive folder.
5. In Connected Account, select the Google Drive account you added.
6. Click Connect.
7. A new tab will open. Click Allow.
8. You'll be returned to Axero. Click Save Settings.

Once settings are saved, users can connect to Google Drive in the Files section of the space or by selecting Browse > Files.

Option 2: Add Google Drive to My Files

If you enabled Available in Personal Connect, go to Control Panel > System > System Properties and set ShowNewMyAccountFilesView to true. Once this is enabled, users can connect to Google Drive in My Files.

Choosing Which Drives People See

Once the app is connected, drives are chosen separately at each of the three places Step 2 made available. Only Shared Drives can be offered to a whole space or to the top level community; a personal My Drive can be added to a person's own files only.

In the top level community

Anyone with permission to add folders under Browse > Files can offer connected Shared Drives to everyone there.

1. Go to Browse > Files.
2. Click Add External Drives.
3. Connect with your Google account, if you have not already.
4. Choose the drives to display to everyone.
   
5. Click Save Settings. Everyone with access to those drives in Google sees them immediately.

In a space

A space administrator decides whether Google Drive is available in that space at all, and then which drives it shows.

1. In the space, go to Manage Space > Integrations and switch the Google toggle on. The change saves on its own.
   
2. Go to the space's Files and click Add External Drives.
3. Connect with your Google account, if you have not already.
4. Choose the drives to display to the space's members and click Save Settings.

In a person's own files

With Available in Personal Connect on (Step 2) and ShowNewMyAccountFilesView set to true (Step 3, Option 2), each person can add their own My Drive.

1. From your account menu, open My Content and then Files.
   
2. Click Add External Drives, then My Drive.
3. Enter a Display name. Files sync as soon as the drive is added.

To disconnect, click the gear icon on the drive and select Disconnect.

Removing Axero's access to a Google account

Each person controls which of their accounts Axero may use. To withdraw the authorization, open Integrations from your account menu, find the Google entry, and click the trash icon. Once confirmed, the authorization is removed from the profile.
