Rebuild Search Index refreshes your content and rebuilds the search index for your Axero intranet. You may need a rebuild if content is missing from search results, Page Builder pages, or other areas of your intranet. Most indexing happens on its own, and some gaps clear by themselves within minutes. Rebuilding will not make that happen sooner, so read How Indexing Works below before you start.
Navigate to Control Panel > System > Advanced System Utilities. You need to be a site administrator to open this page.
The Rebuild Index button only appears when Elasticsearch, the search engine behind your intranet, is switched on and reachable. If the button is missing, the page shows the reason in its place. "Elasticsearch not enabled in system properties." means the EnableElasticsearch entry in System Properties is off. "Elasticsearch windows service is not working as expected. Cluster state is invalid." means the search service itself is not responding. In either case, contact Axero Support. Switching that setting on does nothing by itself, because it needs a running Elasticsearch service behind it.
Click the Rebuild Index button to rebuild the entire search index.
To rebuild only certain content types, click the down arrow next to the Rebuild Index button, select the content types you want, then click Rebuild Index.
Progress appears above the Rebuild Index button. Stay on the page until you see the completion message.
Consider rebuilding your search index in these situations:
The search index is the catalog that makes content on your intranet findable. It powers global search, many widgets (for example, Content List, Latest Discussions), and filters across the platform. Without the index, content would be slower to load and harder to find.
Incremental IndexingAxero uses incremental indexing, which means:
Content is indexed automatically, in real time, whenever it is added, updated, or deleted
There is no fixed schedule, such as every 12 or 24 hours
The one exception: user profile changesEdits to a user's profile fields are not indexed in real time. A background job picks them up every 5 minutes. A profile change can therefore take up to about five minutes to appear in People Directory filters, personas, and search results. This is expected, and no rebuild is needed: wait for the next run. Each run clears up to 100 queued profiles. After a bulk import or a large directory sync, the backlog takes several runs to clear, so the wait is longer than five minutes.
Full Index RebuildsOccasionally, a full rebuild is required. This typically happens:
After introducing a new feature that changes how content is indexed
To fix the rare case where the index becomes fragmented
As part of certain system operations or maintenance
After changing a search setting that is built into the index when it is created, such as the SearchSynonyms entry in System Properties. Rebuilding only selected content types does not apply a change like this. It re-adds content to the existing index rather than creating a new one, so only the full rebuild applies it.
NoteWe don't recommend scheduling regular rebuilds. Each one can degrade the experience for people using the site while content is reprocessed.
If you're unsure whether you need a rebuild, or a rebuild runs into problems, contact Axero Support. Include any error messages and the time the rebuild started.
