Delete users from your intranet when they leave your organization or no longer need access. When deleting a user, you can reassign their content to another user, transfer it to the system anonymous user, or delete it entirely. You can also deactivate users to preserve their content while preventing access.
Tip: If a user may return or you want to preserve their content attribution, consider deactivating the user instead of deleting them. See Delete vs. Deactivate below.
When removing a user, you can choose to permanently delete them or deactivate them. Use the comparison below to decide which option is best for your situation.
Recommendation: Deactivate users when they may return (e.g., leave of absence) or when you want to preserve content attribution for compliance or historical purposes.
When deleting or deactivating a user, you must choose what happens to their content. The following options are available:
All content is assigned to the system Anonymous user. This is a built-in system user that you cannot edit or log in as. Use this option when you do not want to attribute the content to any specific person.
Transfer the deleted user's content to another user. This is useful when responsibilities are being handed over to a colleague or manager.

Important: Some content types have special handling rules and are not transferred to the selected user. See the sections below for details.

Profile field references: You can clear or select a new user for any profile Lookup Field that references the deleted user, such as the Reports to field.
The user is deactivated. If the user is reactivated later, their content attribution is fully restored. This option is only available when deactivating (not permanently deleting) a user.
The user and all their content are permanently deleted, including any spaces they created.
Warning: This action cannot be undone. All content created by this user will be permanently lost.
