Newsletter Manager designs, targets, and sends email newsletters from inside Axero. You build the newsletter, choose who receives it, and send it now or at a scheduled time, all in one place.
There are three steps: build the layout, pick the recipients, and send or schedule it. All three happen in the same editor, so you can shape the content and the audience together.
If you cannot find Newsletter Manager in the Control Panel, it has not been switched on yet. There are two switches, and they have to be set in this order.
The order matters. If you save NewsletterEnabled as true before the feature is enabled for your site, the save is refused. The refusal looks like a permissions error, not a missing first step. If that is what you are seeing, the first switch is the one to check.
You build a newsletter by arranging content blocks inside an email layout. The layout has three sections, Header, Body, and Footer, and each one shapes how its content is presented.
The editor is visual: you add, move, and style content in the layout itself, and every change shows at once, so you see the finished newsletter as you build it.
The editor has two areas:
Each newsletter includes three predefined sections. All sections support the same types of content blocks, but they are typically used for different purposes.
HeaderThe Header appears at the top of the newsletter and is used for branding and introductory content, such as a logo, banner, or opening message.
BodyThe Body contains the main content, including announcements, supporting information, and calls to action. This section usually includes multiple content groups.
FooterThe Footer appears at the bottom of the newsletter and is used for closing content, such as contact information or additional links.
Layouts define how content is arranged within a section. A layout sets the columns, so content can sit side by side when needed.
Available layouts include 50/50, 33/33/33, 30/70, and 70/30 column distributions.
Content blocks fill those layouts: text, images, buttons, and structural pieces such as dividers and spacers. Add and move a block in the layout, and change its settings in the right panel while it is selected.
The blocks available are:
ContentText and images.
Structure and layoutButtons, dividers, spacers, and column layouts used to structure and organize content.
You edit content on the canvas itself. Click into text to change it; a floating toolbar offers bold, links, and headings.
Click a block to select it. The right panel then shows that block's settings, such as alignment, colors, links, and spacing.
Every change appears in the layout at once.
One newsletter can show different people different content. Rather than making several versions, show or hide a section by site role, space membership, space role, or persona.
A section with visibility rules appears only for recipients who match them; everyone else gets a version without it.
Multiple visibility conditions can be applied at once. A section is displayed if a recipient matches any of the selected conditions.
Choose who receives the newsletter on the Recipients tab of the editor.
Recipients are defined by conditions, and anyone who matches at least one is included. There is no distribution list to maintain.
The available targeting methods include:
Use one condition or combine several.
As you add or remove conditions, the audience updates in front of you, so what you see is who will receive it.
The Matched People panel shows the users who meet the selected conditions, and it updates as you change them. Use it to confirm you have the right audience before you send.
The audience is worked out at send time. If roles, personas, or memberships change after a newsletter is scheduled, the final audience reflects those changes.
A newsletter can also go to outside email addresses. Type them in by hand; they do not need an account on the intranet.
Outside recipients have no roles or personas, so their version leaves out every section that has visibility rules and keeps only the public content.
Preview the newsletter before sending it to check the layout, formatting, and spacing.
The preview opens from the editor in a window of its own, with a desktop view and a mobile view.
You can also preview it as a specific person, which shows how personalized or restricted content looks to them.
Once the recipients are chosen, send the newsletter now, schedule it, or send a test email.
Sends the newsletter to every matched recipient straight away.
Pick a date, time, and time zone, and the newsletter goes out on its own at that moment.
You can change or cancel a scheduled send any time before it goes out. A canceled newsletter goes back to draft.
Sends one copy to the email addresses you name, so you can check it in a real mail client first. A test can be rendered as a specific person to show their personalized content. Tests ignore the conditions on the Recipients tab and do not count in delivery status or reporting.
After a newsletter goes out, its detail view shows how it was delivered and read.
The top of the page summarizes the recipient count, opens, clicks, and send time.
Each recipient has a row showing whether and when they opened the email and what they clicked.
Filter that list by persona, site role, or space to compare how different groups read it, without sending anything again.
You can open the exact version each recipient received. This is how you check what personalized content they saw, and it is useful for support or an audit.
Recipients find their newsletters on the My Newsletters page in the intranet, a searchable archive of everything they have received.
Each one is kept exactly as it was delivered to that person, personalization and hidden sections included.
This lets people go back to a past newsletter, and see it as it was, without digging through email.
Keep the content short and in clear sections. Use layout and spacing to separate topics and lead the eye.
Check the recipient conditions before sending, and preview the newsletter as a few different people to confirm the personalized content lands where it should.
Send a test email and look at it on desktop and mobile before the real send. Afterwards, read the engagement data to see how people responded.
When are recipients evaluated? At send time, not when the newsletter is scheduled. If you schedule a send for a future date, any users who match the recipient conditions at that moment will receive it. Users who no longer match will not.
Can different recipients see different content in the same newsletter?Yes. Sections can be restricted based on personas, site roles, space membership, or space roles. Recipients who don’t match the conditions will not see those sections in their version of the newsletter.
Can I edit a newsletter after sending it?No. Sent newsletters are fixed. Recipients see exactly what was delivered at send time. To make changes, edit the draft or scheduled version. To send a corrected version, duplicate the newsletter and send it again.
What happens with external email addresses?External recipients receive only public content. Sections restricted by visibility rules are excluded, since external emails are not associated with roles or personas.
Can I cancel a scheduled send?Yes, scheduled newsletters can be canceled at any time before they are sent. Once canceled, the newsletter returns to draft status.
