The Axero Copilot Manager allows administrators to set up, customize, and manage Axero Copilot profiles for different use cases across the intranet. Each profile can be tailored with its own settings, design, and knowledge sources, ensuring that Copilot behaves appropriately for different user groups, spaces, or content types.

Configuring the agent properly ensures that Axero Copilot gives context-specific answers for each user group. For sensitive content, user-scoped access ensures that users can only see information they are authorized to view.
For knowledge bases or broad support contexts, bot-scoped access ensures that Axero Copilot retrieves answers based on the selected Bot User's permissions, so responses come from a single, consistent permission set rather than each user's individual permissions. The combination of system prompts and access rules is what makes each Axero Copilot profile unique and tailored to its audience.
Admins can create and manage Axero Copilot profiles, each with its own settings for bot identity, UI, suggested questions, and content access.
To manage Axero Copilot profiles, go to Control Panel > System > Axero Copilot. When you open this section, a list of profiles is displayed, including the profile name (unique identifier), a description (a short note about its purpose), a default option to set one profile as the default, and actions to edit, duplicate, or delete.
To create a new Axero Copilot profile, click + Add New Profile. This opens the profile setup screen, where you can specify the profile's main settings:
When the details are complete, you can preview the setup to check your changes before saving. Select Save Profile to finalize and add the profile to the list, or click Cancel to discard the new profile.
System Overrides are values that replace default system property settings for a specific Copilot profile through the API. They allow advanced configuration without changing the site-wide system properties.
This is typically used for custom implementations where Copilot needs to behave differently in specific contexts (for example, by using a different ChatBotEngineURL or model for a particular profile).
You can customize the appearance and behavior of Axero Copilot in the chat window. These settings let you set widget text, upload icons and images, and define how users interact with Axero Copilot. Use them to align Axero Copilot's look and feel with your organization's branding.

After completing customization, click Preview to test the setup, or Save Profile to apply the changes.
Use Preview to see how the Axero Copilot widget appears based on the current configuration. The preview reflects visual elements such as text, icons, colors, and layout before saving the profile.
Suggested Questions help guide users by providing ready-made prompts they can click. These questions make it easier to start a conversation, highlight the most common topics, and encourage people to use Axero Copilot with less effort.
To create a suggested question, click + Add New Suggestion.
Each question can be customized with:
Drag and drop questions to reorder them in the chat interface.
Once you have created questions, click Preview to see how they will appear in the Axero Copilot widget. This allows you to test button text, icons, and colors before saving the profile.
Click the trash icon next to any suggestion to remove it. Once deleted, it will no longer appear in the widget preview or the live profile.
Agent Configuration controls how Axero Copilot interprets questions and where it looks for answers. This setup determines the quality, accuracy, and scope of its responses.
The system prompt sets the tone and behavior of the Axero Copilot. Here, you can define specific instructions on how it interacts with users. For example, you may want it to answer in a formal tone, always reference official documentation, or present responses using Markdown for improved readability. The way you write the prompt directly shapes how Axero Copilot communicates.
Knowledge Access determines whether Axero Copilot uses your organization's content when generating answers. This setting controls how the bot retrieves information and whether responses are contextual to your intranet. A switch at the top of this section turns Knowledge Access on or off.
Axero Copilot answers only from content that the current user has permission to view. This option maintains strict alignment with your site's security model. Filters can be applied to narrow Axero Copilot's scope further by selecting specific spaces, content types, or tags.
Axero Copilot answers from its own dedicated knowledge base, separate from individual user permissions. This mode is useful when you want a consistent knowledge source, for example, a help desk bot that references global support content. Within this mode, you assign a Bot User to define which permissions Axero Copilot uses when searching for information, and then choose which spaces, content types, or tags it can draw from.
When both User-Scoped and Bot-Scoped access are enabled, Axero Copilot combines information from both sources to provide comprehensive answers. Content from the Private Axero Copilot space (accessed via Bot-Scoped permissions) is treated as company-authorized information and has priority when generating responses. This ensures that verified, centrally managed content takes precedence while still allowing user-specific content to supplement answers based on individual permissions.
Redirects allow Axero Copilot to reference external URLs or internal pages while maintaining centralized control over the bot's knowledge base. This is particularly useful for content stored in the Private Axero Copilot space.

Private Space Content Without Redirects: Content from the Private Axero Copilot space that does not include a redirect URL is not directly accessible to users. Axero Copilot will treat it as verified information and use it to inform responses, but it will not include it as a clickable reference.
Sub-agents allow an Axero Copilot profile to leverage knowledge from other Axero Copilot profiles when responding to a question. This is useful when conversations cover multiple areas of expertise, such as HR policies, legal guidelines, and internal processes.
When enabled, you can select one or more Axero Copilot profiles to act as Sub-agents. These profiles contribute their knowledge during a conversation, allowing the primary Axero Copilot profile to respond with broader or more specialized context where needed. Selected Sub-agents appear in a list and can be updated at any time.
Sub-agents cannot call themselves, ensuring that a profile does not reference itself during a conversation. When a Sub-agent is used, access is managed through the main profile, allowing users to utilize Sub-agents without requiring separate permissions for each one.
To modify an existing profile, locate it in the profile list and use the available actions.
You can also Duplicate a profile to create a copy with the same settings, or Delete a profile to remove it permanently.
When the number of existing Copilot profiles reaches the configured limit, creating or cloning additional profiles is disabled. This limit only prevents the creation or cloning of new profiles, while existing profiles remain unchanged and editable.
