Important: Google requires 2-Step Verification to use App Passwords with Axero. These 16-character passwords allow secure SMTP access without exposing your primary Gmail password.

Step 1: Enable 2-Step Verification in your Google account

1. Go to https://myaccount.google.com/security.
2. Under "How you sign in to Google", find 2-Step Verification.
3. If it's not enabled, click it and follow the prompts to turn it on.
   • You'll need a phone number or an authentication app.

Step 2: Generate an App Password

1. Go to https://myaccount.google.com/apppasswords.
2. Sign in again if prompted.
3. Type a name like Axero Email Integration, then click Create.
4. A 16-character App Password will be shown, for example abcd efgh ijkl mnop.
   • Copy this password, it's only shown once.
   • You'll use it as the SMTP password in Axero.

Step 3: Configure Axero SMTP settings for Gmail

1. Sign in to your Axero site as a site administrator.
2. Go to Control Panel > System > General Settings > Email Settings.
3. Under SMTP server, enter the following:

   Field	Value
   From email address	Full Gmail address (for example, you@gmail.com)
   Friendly email name	Name to display in outgoing email
   SMTP server	smtp.gmail.com
   SMTP username	Full Gmail address (for example, you@gmail.com)
   SMTP password	Paste the App Password from Step 2
   SMTP port	587
   Use SSL	Yes (enabled)

4. Click Save System Settings at the bottom of the page.

Step 4: Send a test email

1. Go to Control Panel > People > Manage People.
2. Click the Options menu and select Mass Email.
3. Under 1. Choose type of email, select Create custom email.
4. Compose a test message.
5. Under 2. Choose people, select test recipients.
6. Click Send Email at the bottom of the page.

Notes

• Watch Gmail's sending limits. A personal Gmail account allows 500 messages a day and 500 recipients in a single message. Google Workspace allows 2,000 messages a day, or 500 while the account is on trial, and 2,000 recipients per message with no more than 500 of them outside your organization. A busy site can reach these, and sending pauses until the limit resets.
• For high-volume use, contact Axero to use the default email provider.

App Passwords on Google Workspace

On a personal Gmail account, 2-Step Verification is all you need. On a Google Workspace (work or school) account, whether you can create an App Password depends on how your organization has set up the account:

• 2-Step Verification must be on for the user.
• Google does not offer App Passwords on an account where 2-Step Verification is set up only for security keys, on an account with Advanced Protection, or on a work or school account whose administrator has not made them available. Check with your Workspace administrator before relying on one.

Axero has no other way to sign in to a Google mailbox. Axero connects to Gmail with an App Password only; it does not offer Google OAuth for mail. If your Workspace administrator has disabled App Passwords, there is no alternative sign-in method in Axero for that account, so use a mailbox where App Passwords are permitted, or a different provider.
