⚠️ Important: Google requires 2-Step Verification to use App Passwords with Axero. These 16-character passwords allow secure SMTP access without exposing your primary Gmail password.

1. Enable 2-Step Verification in Google Account

1. Go to https://myaccount.google.com/security.
2. Under “How you sign in to Google”, find 2-Step Verification.
3. If it’s not enabled, click it and follow the prompts to turn it on.
   • You’ll need a phone number or an authentication app.

2. Generate an App Password

1. Go to https://myaccount.google.com/apppasswords.
2. Sign in again if prompted.
3. Type a name like Axero Email Integration, then click Create.
4. A 16-character App Password will be shown (e.g., abcd efgh ijkl mnop).
   • Copy this password — it’s only shown once.
   • You’ll use it as the SMTP password in Axero.

Step 3: Configure Axero SMTP Settings for Gmail

1. Log in to your Axero site as a System Admin.
2. Go to Control Panel > System > General Settings > Email Settings.
3. Under SMTP server, enter the following:
   
   

   Field	Value
   From email address	Full Gmail address (e.g., you@gmail.com)
   Friendly email name	Name to display in outgoing emails
   SMTP server	smtp.gmail.com
   SMTP username	Full Gmail address (e.g., you@gmail.com)
   SMTP password	Paste the App Password from Step 2
   SMTP port	587
   Use SSL	✅ Yes (Enabled)

4. Click Save Settings at the bottom of the page.

Step 4: Send a Test Email

1. Go to People > Manage People.
2. Click the Options menu and select Mass Email.
3. Under 1. Choose type of email, select Create custom email.
4. Compose a test message.
5. Under 2. Choose people, select test recipients.
6. Click Send Email at the bottom of the page.

Notes

• Ensure your Gmail account has not exceeded sending limits (typically 500 emails/day for free accounts).
• For high-volume use, contact Axero to use the default email provider.

✅ When App Passwords Are Allowed in Google Workspace

1. 2-Step Verification (2SV) must be enabled for the user.
2. The user must be part of an organizational unit (OU) or group where App Passwords are allowed.
3. The admin hasn't disabled App Passwords via security settings.

❌ When App Passwords Are Not Allowed

• If your Workspace admin disables access to less secure apps or App Passwords, even with 2SV, you won’t be able to create or use them.
• If you're using enforced security policies (like Context-Aware Access or Advanced Protection), App Passwords may be automatically blocked.
